When you are looking for a cost effective, efficient and convenient solution for your business network, then install a print server. A print server connects multiple users to a single printer sharing its resources to save the hardware and maintenance cost. If Windows Vista is what your company is using and you desire to use a print server then its an easy and efficient task to perform.

Here is how you can print using Windows Vista and a Print Server.

* Select the file for printing. It could be in form but must be compatible with the Microsoft Office. The documents can be of Word, Excel, Power Point or any other form.

* Make sure the document is exactly what you want. Re-read to be sure the document is errorless. If there is anything you want to edit, edit it right away.

* Check for the layout, it should be what you desire.

* On the left top there is a Office 2007 icon, click on it and look for the 'Print' option. Before clicking on the 'Print', right click on it to edit the printer properties.

* Now it's the time to choose your print server. Select the 'Name' menu from the top bar of the window. By using your left mouse button select the printer that you desire to use to print the documents. You may click 'Find Printer' if you are not sure about the print server, from your network. But knowing the print server IP address or name is important.

* Assure yourself you have changed all the required settings like page numbers, number of copies, fast, economical or normal printing. Also be assure you have changed the page Orientation to landscape or portrait, what ever is required. Choose the page type as well, whether its A4, Letter or Envelope that you are using.

* Clicking the Print icon from the Print window will start the process once you are confident that all the required editing is done.

It is very easy to use a print server using Vista. Almost all the options and procedures are same as you have already been doing. But knowing either the printer name of it's IP address is important. Also make sure that the required printer is on the network, else the network will not read it and you can't locate it for printing.

The purpose of using a printer server is to lower the waiting time to get the documents printed. The server will determine if one of the printers is over loaded with work and it will directly transfer the load to the other network printer. Thus this process is very well coordinated and time saving.
